Privacy Policy
This Privacy Policy describes how Mailbox AI ("we", "us", or "the App") collects, uses, and protects your information when you use our mobile application.

1. Information We Collect
Personal Information
- Google Account Information: name, email address, and profile picture obtained via Google Sign-In.
- Email Data: content, subject lines, sender/recipient details, attachments, and metadata necessary to display and manage your messages.
- Contact Information: contacts synced from your Gmail account, used to display recipients and assist composition.
- Preferences: theme settings, notification preferences, and writing-style customizations you choose.
Automatically Collected Information
- Device Information: operating system version, app version, and anonymized device identifiers.
- Usage Data: features used, emails viewed, summaries generated.
- Analytics Data: aggregated usage metrics collected via Firebase Analytics.
User-Provided Information
- Email drafts and composed messages.
- Custom labels, tasks, and preferences.
- Support communications you send to us.
2. How We Use Your Information
Core Functionality
To fetch, display, send, and manage your emails; sync contacts; organize messages with labels; and enable notifications.
AI Features
We only send the minimum necessary data required to perform AI functionality. We do not use AI for automated decision-making with significant legal or similar effects, for model training, advertising, or profiling.
Analytics & Improvements
To monitor performance, fix issues, improve features, and analyze how the App is used in aggregate.
3. Permissions Usage
- Gmail Access: required to read, send, and organize your emails.
- Contacts Access: used to display recipients and improve email composition.
- Notifications: used to alert you about new and important emails.
4. Data Sharing
We do not sell your personal data. We share data only:
- With Google APIs, to deliver core email functionality.
- With OpenAI, to power AI features — limited to the minimum data necessary.
- With Firebase Analytics, for aggregated usage analytics.
- When legally required, or in connection with a business transfer such as a merger or acquisition.
5. Google API Services Compliance
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only use Gmail data to provide user-facing features. We do not use Gmail data for advertising, and we do not sell or transfer it to third parties for purposes unrelated to providing or improving these features.
6. Data Security & Retention
We protect your data using industry-standard measures including SSL/TLS encryption in transit and secure OAuth 2.0 authentication. Data is retained only as long as necessary to provide the service or as required by law. You may revoke access at any time from your Google Account settings.
7. Data Deletion
You can request deletion of your data through the in-app settings or by emailing us at vekariyakrishnam@gmail.com. We process deletion requests within 30 days.
8. Children's Privacy
This App is not directed to children under 13 and we do not knowingly collect personal data from them. If you believe a child has provided us personal information, please contact us so we can remove it.
9. Third-Party Services
The App relies on third-party services including Google (Gmail, Sign-In), OpenAI, and Firebase. Your use of those services is also governed by their respective privacy policies.
10. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Correct inaccurate information.
- Request deletion of your data.
- Request a portable copy of your data.
- Object to or restrict certain processing.
11. GDPR Compliance (EU/EEA Users)
If you are located in the European Economic Area, we process your data on the legal bases of contract performance, your consent, and our legitimate interests. You have the rights listed above and may lodge a complaint with your local data-protection authority.
12. CCPA Compliance (California Users)
California residents have the right to know what personal information is collected, request deletion, and opt out of any sale of personal information. We do not sell personal information.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via the App or by email. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
